DUTIES AND RESPONSIBILITIES
QUALIFICATIONS
-Bachelor degree in Business Administration or in similar field
-Minimum 5 years’ experience in a similar role
-Ability to manage and coach a team
-Presentable and able negotiate to ensure the best interest of the company is served
-Able to follow the company processes and procedures and ensure other team members do the same
-Ability work under pressure and in diverse work environment.
-Ability pinpoint problems and address them quickly and in a professional manner
-Fluent in English and Arabic.

DUTIES AND RESPONSIBILITIES
- Manage and Coordination and supervision of maintenance for all Company Facilities.
- Managing and following up on renovation projects in all company Facilities
- Supervision of Cleaning the buildings and offices.
- Manage hospitality activities and reception of guests; planning, arranging to execution.
- Ensure equipment in the company Facilities are functional and maintained at all times.
- Manage, follow up maintain
- Managing Guest House in Erbil and
- Maintain and Implement Company Transportation Policy and Instructions
- Manage transportation of persons and goods within Iraq
- Manage company vehicles usage, allocation, periodical checks, maintenance and ensure all the legal documents are valid and in order all the times.
- Manage accommodation and flight booking and transportation of company employees and guests during business trips and when needed
- Follow up visa issuance and renewal through the company lawyer
- Follow up issuance and renewal of residency cards, work permits for company staff when needed
- Manage purchasing of office supplies and printings with low cost in accordance to company policy.
- Maintain the mobile policy and follow-up its application
- Allocation of Sim Cards and phones and mobile phones, maintenance of mobile phone according to company policy
- Coordination and support for fixing malfunctioning sim-cards.
- Purchasing new mobiles and maintaining the existing mobiles
- Managing purchasing budget and maintain low-cost operations.
- Purchasing plan for Detergents, stationaries and Kitchen supplies
- controlling and distributing purchased materials including store management.
- Daily required meal planning & supervising daily logs and recordings.
- Menu planning and reviewing & Support for providing on holidays & weekends.
- Test and evaluation for new service providers.
- communication with service provider for keeping quality of service maintained.
- Supervising reception operations from receiving guests to handling coming calls and visitors from Company Network.
- Making sure Company’s receiving area is always organized and neat.
- Coordination with Security company in charge for guarding company facilities
- Reporting any potential security threat at any of the company facilities
- countermeasure planning in case of having security threats on facilities or employees of the company
- Risk assessment of security situation of all the facilities in case of wide scope accidents or disasters
- implementation and company's contingency plan
- Maintaining Communication Tree and Updating constantly
- BT Form and BT Reimbursement Form checking and approving.
- BE Application Form checking and reviewing
- Admin related PO & PR review and approving
- Damage Form review and approving
- Maintaining Company’s Service Contracts
- Managing all Admin related suppliers & service providers including contract renewing
- Manage the filling process for IN/OUT official communications
- Maintain Contract Tracking sheets and create monthly report out of it.
- Preparing Monthly Report of admin covering all three locations.
