Job description - Receptionist


Our Oil and Gas operator client requires a Receptionist within their offices based in London, Victoria on a long-term contract. Normal working hours will be 8.30am -5.30pm Monday to Friday.

 

Role and responsibilities

  • Meet and greet all visitors to our London office
  • Answering calls in an efficient and professional manner, taking clear and detailed messages when necessary
  • Outlook Calendar management to book/confirm meetings for staff and external guests
  • Arranging temporary security passes with lanyards for visitors
  • Keeping the reception & kitchen areas tidy at all times – daily checks, packing/unpacking dishwasher etc
  • Logging, sending and distributing all incoming and outgoing mail, couriers and faxes
  • Booking meeting rooms, managing requests and working closely with the executive team assistants
  • Setting up meeting rooms, providing refreshments & clear meeting room once finished
  • Ordering breakfast & lunches for meetings and other monthly staff occasions
  • Register guests visiting office on Bluepoint
  • Book Loading Bay deliveries and visitors car park
  • Collect post and deliveries from loading bay and distribute
  • Order stationery and kitchen supplies – daily checks to ensure stock is replenished at all times
  • Managing monthly credit card expenses
  • Ad-hoc administrative tasks e.g. binding, printing, errands
  • Liaise with suppliers
  • Ensure all guests sign in & out and other health and safety checks
  • Ensure all new visitors watch induction video
  • Conduct inductions for new joiners – introduction to staff and office
  • Flexibility to work late/early dependant on meeting requirements/board meetings
 

 

Essential requirements

  • Excellent written and verbal communication skills, including a clear telephone manner
  • Previous relevant experience
  • Competent with Microsoft Office suite, particularly Word and Outlook
