The client, a large oil and gas company, is currently seeking a Camp Travel and Logistics Coordinator for a 6 month contract in Calgary, AB.
POSITION SUMMARY:
As Travel and Logistics Coordinator, you are responsible for overseeing the efficient operation of the flight program and camp bookings, validation and workforce reporting system. The individual is the daily interface for booking and transport requirements for the air carrier, camp, internal, and site contractors. You will be responsible to liaison with leads within these respective areas to ensure smooth operations.
CORE RESPONSIBILITIES:
• Single point of contact between our client and contractor passengers regarding bookings with Air carrier supporting Sunrise Flight Program and camp bookings.
• Oversee daily and on-going flight, ground transportation and aerodrome related issue included but not limited to daily operations, time delays, air craft availability, weather changes, passenger requirements, after hours support in collaboration with Camp Advisors and site Admins.
• Oversee daily workforce management and the reconciliation of individual daily work force numbers submitted by contractors with in-house reports
• Populate/manage the workforce data entered into software program.
• Monitor performance of Air Carrier and associated services to ensure contractual compliance; support any performance improvement plans with Camp Advisor as required.
• Track and report on key metrics, coordinate and complete monthly, quarterly and annual reports for management review.
• Facilitate between camp provider and software management company regarding upgrades/issues. Advise on improvements and enhancements to logistics & workforce management systems and software as required.
• Provide subject matter expertise related to travel and logistics matters to assist management in decision making
• Ensure persons are booked according to their schedule and make changes to flight and camp reservations as required.
• Ensure itineraries for flight/camp reservations are being sent out
• Review flight manifests and camp arrivals the day prior to departure to ensure accuracy and eliminate discrepancies.
• Work with Corporate leadership team and site management to translate corporate initiatives into operational programs
• Create and maintain a positive Safety Culture by adhering to provincial and Corporate safety requirements, policies, procedures and PPE specifications at all times
• Any other duties as assigned by Director Operations or Human Resources
MUST HAVE QUALIFICATIONS:
• High school diploma
• Post-Secondary Travel and Logistics Management or related training
• 5+ years related experience in Oil and Gas environment including managing logistics for large remote facilities
• Financial awareness and budget responsibility of contract scopes
• Proficiency with MS Word, Sharepoint and Excel and electronic mail is required.
NICE TO HAVE QUALIFICATIONS:
• Experience with Camp and Flight Management software an asset
• Previous experience with logistics and workforce management software related to the remote camp industry is an asset
