Admin Assistant
Positions available in: Port Arthur and Downtown Houston
Provide administrative support to the CFO of the client. The successful candidate will have strong Microsoft Office Skills and experience in analyzing data in Excel and preparing presentations in PowerPoint . They will also have the administrative experience and organization skills to perform diverse administration functions requiring confidentiality, initiative, and sound judgement.

Provide administrative support to the CFO of the client. The successful candidate will have strong Microsoft Office Skills and experience in analyzing data in Excel and preparing presentations in PowerPoint . They will also have the administrative experience and organization skills to perform diverse administration functions requiring confidentiality, initiative, and sound judgement.
Responsibilities:
- Plan and attend CFO Leadership Team meetings, take notes, assign actions and facilitate follow-up on those actions. Demonstrate the ability to understand at a high level what is being discussed and decided, with a base understanding of finance and business concepts
- Prepare presentations and analysis of data and concepts via Excel and PowerPoint
- Responsible for answering phone calls, reviewing incoming correspondence, mail, organizing and preparing confidential pre-read and correspondence for executive meetings
- Coordinate travel for executive flights, hotels, rental cars, car transport, visas, passport, etc.
- Manage the CFO's calendar and schedule recurring meetings and other meetings as necessary
- Collaboration with other Administrative Assistant in Finance to provide support to the department
- Collaboration with other Administrative assistants in scheduling of quarterly meetings
- Schedule meetings and conference rooms as necessary
- Perform other miscellaneous job-related duties and tasks, i.e., arrange catering for meetings, and clean up afterwards
- Interface professionally with all levels in the organization
- Assist with on-boarding of new team members
- Validate Credit Card Expenses and complete monthly expense reports
- Utmost confidentiality in dealing with Most Confidential data
- Upkeep of filing and Records Management
Basic Qualifications:
- Minimum five (5) years experience as a professional assistant, with experience supporting executive levels preferred
- Bachelor's Degree in Finance, Accounting or related field or equivalent experience in financial analysis or accounting
- Highly proficient in Outlook, Word, PowerPoint, and Excel
- Proven excellent communication, grammar, and proofreading skills both oral and written
- Demonstrated strong attention to detail when working through complex tasks. Must be highly organized
- Superior interpersonal skills a must
