Purpose:
- The Document Control Specialist will play a key role ensuring that the Site’s Process Safety Information (PSI) is maintained evergreen per the Site’s PSI documentation requirements and ensuring that Management of Change (MOC) requirements are properly documented.
- They will work directly with the MOC Lead, Project Manager and Multi-Discipline Groups to coordinate the required documents and systems updates, ensuring that MOC’s and Projects are closed within the target completion deadlines.
- They hold the responsibility for coordinating, tracking, and managing overall drawing and document revisions. This individual is also responsible for following and enforcing the established policies, standards, procedures, and guidelines to meet the Document Control requirements.
Responsibilities:
- Responsible for overall revision coordination of controlled documents within the Company.
- Good working knowledge of all types of drawings.
- Performs Document Control functions within the Company’s Document Management System (Documentum).
- Scanning, uploading & archiving documents
- Creating new files
- Converting hard files to electronic files.
- Performs document quality assurance audits by properly reviewing and assessing incoming and outgoing documentation and helps identify gaps and opportunities to improve current documentation methods.
- Ensures that Project Final Deliverables meet procedures and standards requirements.
- Maintains MOC tracking system and coordinates MOC and project documentation updates to ensure timely MOC and project closures.
- Investigates and responds to corrective actions related to all Document Control functions.
- Ensures effective communication and coordination with the MOC Leads, Project Managers, Third Party Companies and Multi-Discipline Groups to ensure proper understanding of the required actions to drive MOC’s and Projects to completion.
- Generates MOC and Project status reports to ensure proactive completion of MOC and Project action items.
- Supports user requests for processing documentation updates and MOC and Project completions.
- Provides varied administrative support activities to plant staff including, but not limited to, maintaining files and forms, plan team events, distribute mail and/or packages, manage office supplies and processing monthly expense reimbursements in Concur, and maintaining various project documentation, etc.
Skills and Qualifications:
- High school diploma or GED equivalency is required, some college preferred.
- Minimum 6-8+ years’ relevant experience in a Document Control role
- Relevant experience working with manufacturing or project management documentation required
- Solid analytical, problem solving and interpersonal skills
- Must be able to complete assigned tasks independently with minimal instruction and have the initiative to obtain guidance on new assignments when needed
- Strong verbal and written communication skills
- Effective time management to support the ability to deliver within strict timelines
- Collaborative team player with strong interpersonal skills
- Proficiency in Microsoft applications; familiar with Adobe, AutoCad and SPI InTools
- Documentum, SharePoint and Capital Projects Express (CPX) experience preferred, but not required
