Job Dimension
The Job Holder will hold this position up to the Project FID and beyond if approval to proceed is received.
During this FEED phase, the position holder shall be responsible for all Document Control related activities including the ongoing implementation of the technical documentation management system - New PRODOM, the project document filing systems and associated procedures and guidelines.
The job holder will liaise closely with the package doc controllers providing guidance and support.
Activities
Overall responsibility for all document control activities related to the Development including receiving, processing, filing and returning electronic files for project deliverables.
1) Participation in continued implementation of New PRODOM (PIMS, the new EDMS), acting as main point of contact to ensure processes and procedures are aligned with HQ expectations, and receive relevant training as local administrator for the system.
2) Review, update and create new procedures and process work flows as necessary to comply with Company guidelines
3)Ensure contracts and bids for FEED technical packages include Company document control requirements, in particular requirements for New PRODOM system
4)Provide training assistance and direction to project team members on documentation and project filing requirements.
5) Coordinate filing and distribution of all Project Engineering and Project Management documentation.
6)Ensure that all team members and contractors are adhering to company guidelines for document creation, transmittal and storage
7)Administrator/creator of SharePoint sites as required
8) Distribute and maintain all document transmittals
- Maintain transmittal register
- Maintain document distribution matrix
- Maintain project filing ensuring that documentation generated by internal and external parties is filed accurately and meets company guidelines and requirements
- Coordinate and quality check all incoming and outgoing transmittals between engineers and contractors
Distribute weekly report to expedite responses during review cycles
9)Awareness of requirements to implement digital tools on the project, and ensuring links between documents and digital solutions are properly planned
The role will evolve into a Lead Document Control role for the Project Execution phase, taking responsibility to coordinate the Project Document Control activities, including the direct and indirect supervision of addition Document Controllers as and when they are mobilized
The job holder will have to liaise actively with Project Management and all Package and Line Managers for the performance of the above duties. The job holder will also liaise with the HQ Group PRODOM and related departments.
Qualification
Education: Bachelors degree in Business management or similar
Experience: 10+ years of experience in oil and gas Doc control
Required Skills /Certifications:
Deep water developments knowledge and experience
Excellent organizational ability and commitment to meeting deadlines
Established industry network
Strong communication and proficient presentation skills
