The client, a large oil and gas company, is currently seeking an Administrative Assistant for an 11 month contract in Calgary, AB.

- Manage and schedule the Outlook calendar, inbox, events, tasks and contacts and tactically plan, schedule and track all necessary information
- Maintain organization and preparation in advance for meetings and events (confirm participant availability, develop agendas, ensure timely availability of pre-reads and meeting material, briefing notes, presentations and general correspondence writing)
- Maintain a close working relationship with the leader to plan travel throughout the year, making sure travel aligns with meetings and other events
- Balance all interactions including in-person meetings, teleconferences or video conferences and distribute all related materials
- Assist with vendor management and process payment requests (personal business expenses) and prepare and submit monthly Visa statements
- Attend meetings as requested, to document action items, key messages, participate and provide support
- Provide back-up coverage for administrative team
Must-haves (minimum requirements):
- Five years of related work experience in an equivalent role
- Three years as a senior administrative assistant handling senior leaders’ schedules, large amounts of information and multiple priorities
- A high school diploma or General Education Diploma (GED)
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel and PowerPoint)
- Knowledge in setting up, booking and troubleshooting video and Skype conference meetings
- Professionalism and integrity, acting with discretion and confidentiality
- Proven high level of attention to detail, undertaking all work in a planned, methodical and accurate manner

- A post- secondary education
- Knowledge of Skype, SAP and Livelink (workflows, shopping carts, Livelink permissions and collaboration rooms)
