Location Hassi Messaoud, Algeria Department/Section Ingenierie Position Leader, Document Control Position (Groupement Berkine Title) Chef Service Archive Reports to Chef Departement Ingenierie Work Schedule 28/28 Job Description/Major Duties (general job functions, responsibilities, day-to-day tasks & activities) Establish and manage Document Control functions throughout the association and related projects and ensure that systems are developed to enable efficient handling of information and data, in line with industry best practices.
- Ensure all document control personnel are familiar with and work in accordance with established policies and procedures, carrying out regular audits.
- Liaise as needed with parent operators to supply data needs as necessary.
- Establish Quality Control checks for all incoming documentation.
- Provide input to contractual requirements for document control by 3rd party companies providing services and audit as required.
- Ensure that review and approval cycles for all required documents (internal and external) are adhered to and dealt with in a timely manner.
- Ensure that documentation is expedited, reporting progress and status as required.
- Organise checking and distribution of electronic data.
- Ensure that users of document management systems are adequately trained to use the systems.
- Support site project teams and provide training to improve skills of document control personnel.
- Co-ordinate close-out and handover requirements for project documentation.
- Identify and develop budgetary requirements for running Document Control operations.
- Train and mentor national employees.
- Supervise translation services personnel.
- Supervise photocopier contract and machine maintenance.
- Manage software upgrade from Documentum
- Relevant degree or equivalent preferred, ideally in Business or Computing/IT.
- Significant document management experience in an Operations and Project environment.
- Electronic Data Management Systems development skills.
- Data Control training and development of procedures with the ability to work under pressure on fast track projects.
- Proven ability in setting up and implementing Document Management Systems on new projects.
- Strong administrative and organizational skills.
- Excellent oral and written communication skills.
- People Management skills.
- Must be computer proficient in the Microsoft Office software suite.
- English language skills required, French language skills are a significant advantage.
- International experience in a multi-cultural environment would be advantageous.
