Responsibilities
  • Working closely with the Project Manager to ensure all deliverables, tasks, dependencies and milestones are captured, actively managed, understood and communicated
  • Proactively maintain the project administrative duties associated with supporting workstreams in Australia and from time to time with the team in Europe, and working collaboratively with additional tasks related to subcontractors and customers
  • Support the project manager with the gathering and presentation of data to inform both the company’s and customer management to enable appropriate decision making
  • Co-ordination of onsite works activities including preparation of work packs, scheduling and resource management
  • Tracking of works against vendor claims/invoices
  • Manage fabrication and material availability from various vendors
  • Ability to work both autonomously and collaboratively to drive delivery for the project
  • Assist the Project Manager to prepare and report weekly on project activities necessary for the successful delivery of projects
  • Undertake costs management exercises to assist the project manager to maintain accurate cost budgeting for the projects
  • Support the Project Manager and other management from time to time with establishment of project meetings, meeting minute recording
  • Support the Project Manager with inputs and updates for required Project Management and Steering Committee packs, Statements of Work and other critical work products
  • Demonstrate excellent teamwork and communication skills working across different cultures and time zones to proactively manage the delivery of tasks and escalate issues for attention
  Experience
  • At least 3 years’ experience working as a Project administrator with demonstrated success of implementing best practice administrative management processes and outcomes across a range of projects
  • Experience working on Road or infrastructure projects, traffic management experience would be highly advantageous
  • Having worked for at least 5 years in a complex and fast-paced project environment is essential, as is having worked in or interacted with a Project Management Office (PMO)
  • MS Excel and MS PowerPoint skills including graphical reporting and proficiency in the base “Office toolset” (i.e. MS Outlook, MS Word, MS SharePoint, MS Teams)
Qualifications
  • Bachelor’s Degree in business management or a related field
  • Project management related training and certification (PMI, Prince2, Agile etc.) would be beneficial
Knowledge and Skills
  • Exceptional interpersonal/written facilitation and communication skills; can effectively interact with all levels of management, subcontractors and the customer
  • Strategic thinker with strong analytical and problem-solving skills, with an ability to understand complex issues and opportunities and with excellent attention to detail
  • Positive, proactive, self-motivated and self-managed; able to work autonomously with minimal supervision and direction, and an ability to follow issues through to conclusion
  • Ability to identify trends and provide insights to drive outcomes; capable of identifying and escalating issues and risks
  • Exhibit a passion for project administration, with solid, proven organisational, business management and leadership skills
  • Proficient in the use of Microsoft Excel, PowerPoint, Outlook, Word, Teams, and Office Timeline
Other relevant requirements
  • Ability to flex your working hours as required due to a cross continental project team
  • Be able to seamlessly integrate into the team and take immediate ownership of required tasks
  • Adaptable; willing to provide support / take on tasks outside of original scope of work as required
  • Team player able to work well across all facets of the business operations and positively influence team culture
  • Personal resilience and confidence in ambiguous environments
  • Some travel will be required a full driving license and access to a car is essential
