JOB SUMMARY

Part time position (20 hrs a week)
Key support areas are:

  • SAP procurement support for field and projects on annual reoccurring and one-off requisitions.
  • Administrator of Company vehicle program including but not limited to:
    • management of existing fleet through ARI
    • ordering of new vehicles through ARI
    • fuel credit cards
    • vehicle registration key
    • DOT motor vehicle permit administrator and
    • vehicle disposal.
  • Provide cost and equipment tracking for all communications circuits.
  • Provide cost tracking for all utilities.
  • General administrative support for the Northern Area and Cerritos Office.
PRINCIPLE RESPONSIBILITIES

Accounting

  • Perform all coding, processing, and filing of payment documents, for all accounts payables through the SAP Workflow system, including both PO and non-PO related payments. This includes continued follow-up and problem resolution to ensure that payments are issued in a timely manner.
  • Monthly cost tracking, research savings opportunities, troubleshoot
  • Utility monthly cost tracking/accrual worksheet, coding and processing invoices.
  • Company vehicle management, ordering, disposal, registration. Manage CA State Motor Carrier permits for all company vehicles in Western Region Logistics.
  • Purchase Order Management - Create, maintain, increase and close purchase orders.
Office

  • Maintain office supplies and equipment.
  • Coordinate breakfast, lunch, etc. for meetings.
  • Alternate support for administrative support in Cerritos, CA office; HSE, ROW and Engineering departments.
JOB QUALIFICATIONS

  • Thorough knowledge of the following computer software:
    • Microsoft Word, Excel, Access, Power Point and SAP
  • Ability to work independently and determination to follow through
  • Excellent organizational and time management skills
  • Effective communication skills, both written and verbal
  • Ability to work across multiple departments
  • Strong interpersonal skills and willing to work in a team environment
