The client, a private equity backed growing Oil Drilling Manufacturer, has a permanent opportunity for an Office Administrator to be based out of Houston, TX.
Job Summary
The job of Office Administrator is a new support role for this growing company led by executives with a proven record of success in the oil and gas industry. The ideal candidate will be a mature professional who can independently complete tasks and maintain a high level of organization while administering the company’s processes.
Responsibilities
This is an excellent opportunity to become part of a fast growing Oil Drilling Manufacturer who is driving forward increasingly specialized and innovative solutions. Responsibilities
- Great and welcome visitors to the Company’s facility
- Perform general administrative duties in support of the Company’s Chief Financial Officer (CFO) and Production Manager
- CFO support activities:
- Enter vendor invoices within QuickBooks
- Scan vendor invoices within OneDrive (Company’s file sharing platform)
- Create customer invoices from QuickBooks
- Maintain the Company’s Sales Register in Excel
- Deposit Customer payments via Company’s commercial banking app
- Order and maintain office supplies from Amazon
- Production Manager support activities:
- Record inventory transactions within QuickBooks
- Scan certain inventory and shipping documentation within OneDrive
- Follow-up with 3rd parties to confirm receipt of the Company’s product
- Other duties as reasonably assigned
- CFO support activities:
- Self-motivated | Trustworthy | Dependable | Honest
- Must be able to work 40 hours/ week without micromanagement
- High School Diploma required, Bachelor’s Degree a plus
- 3-5 years working experience in a professional setting
- Experience supporting various hiring senior managers and C-level staff’s calendars and requests at one time
- Minimum of 1 year experience with invoicing
- Minimum of 1 year with QuickBooks
- Previous experience working in manufacturing or oil & gas industry a plus
