The client, a well-known Oil & Gas Exploration company, is currently seeking an Administrative Assistant to support their team here in St. John’s NL.

Initial Duration: 6-months

Hours: Mon- Thurs, 24-28 hrs/week

ROLES AND RESPONSIBILITIES

  • Provide general administrative and clerical support to the local Country Manager, Drilling, HSER and Supply personnel.
  • Act as primary contact for building and visitor management, including arranging security pass access and parking
  • Process requisitions and service entry sheets in 1SAP
  • Manage office & event calendars, including organizing and coordinating functions, such as conferences, luncheons and meetings
  • Arrange domestic and international travel, as required
  • Expense report creation and reconciliation of corporate card transactions
  • Ensure office supplies are maintained and office service and maintenance vendors are engaged and managed as needed
  • Provide local contact support to Houston based facilities management team
  • Ensure that visitors to St John’s office are briefed prior to travel and visitor records are maintained
  • Assist with preparation of presentation material including figures, diagrams, and graphs
  • Perform document management activities for the team, including correspondence management
  • Create and maintain up to date contact lists, vacation and training schedules
  • Manage PPE orders and storage as needed
QUALIFICATIONS AND ATTRIBUTES

  • Minimum of five years administrative experience
  • Demonstrated proficiency in 1SAP, MS Office Suite, including Word, PowerPoint and Excel
  • Strong oral and written communication and interpersonal skills
  • Document Management experience
  • Ability to work well in a team environment
  • Work under time constraints
  • Demonstrate initiative and creativity
  • Ability to prioritize work with a minimum of supervision and manage your time effectively
