Qualifications:
- 5 years’ experience in a continuous manufacturing or related environment
- Chemicals, petrochemicals, or refining industry background preferred
- Proficient in all MS Office applications (Work, Excel, and PowerPoint)
- Experience in working with a timekeeping system such as TRACK, ADP, SAP, JD Edwards, ATOM or other
- Proven experience with timesheets, timesheet auditing, and invoice verifications
- Knowledge of ERP systems, preferably on an Oracle platform
- Experience in cost controls
- Strong typing skills; knowledge of touch typing is preferred
- Basic understanding of databases
- An understanding of service related activities in a plant environment
- High school degree or equivalent
- Responsible for initial set up of vendors into timekeeping system, as defined in the Service Entry Team procedures
- Ensures timesheets are obtained from vendors in a timely manner
- Reviews vendor contracts and Purchase Orders to ensure they are in alignment with the information provided by the vendor
- Notifies Procurement Contracts Manager when discrepancies are found in contracts and/or if invoices are submitted with information not in the vendors contract or purchase order
- Reviews timesheets for deficiencies; resolves discrepancies using standard procedures or returns incomplete documents to the provider for resolution
- Enters services receipt data into the company’s information systems and attaches backup documentation in the appropriate format
- Verifies invoices by reviewing entered timesheet data and validates or rejects invoice based on cross checked information
- Supports the Contract Administrator as needed, including assistance on all auditing activities
- Manages contractor relationships per guidance from the Contract Administrator and holds contractors accountable by following policies and procedures; reporting needed changes
- Maintains customer confidence and protects operations by keeping information confidential
- Responsible for helping with turnaround (TAR) work and future TAR planning
