Role Objectives:
- Liaise and negotiate with Project EPC contractors on operational warranty related matters for installed equipment
- Liaise and negotiate with other contractors on warranties for direct purchased equipment and coordinate with internal stakeholders including Engineering and Maintenance Teams for all warranty claim related matters
- Planning, expediting and status reporting on equipment to be repaired or replaced under a warranty
- Review contractual entitlement to warranty and prepare claims to back-charge costs to the relevant Contractor
- Provide professional support to Operations on various warranty claims management and Contract management issues
- Responsible for managing and overseeing all aspects of warranty claims management through to close out
- Conduct all activities in a safe and efficient manner in accordance with the Company’s policies and procedures
- Ensure the welfare of personnel and the protection of assets and the environment at all times
- Ensure the Company’s commitment to and compliance with safety, quality and health regimes is reflected in all Contracts
- Liaise with maintenance and engineering teams to determine if new issues/defects are covered by a warranty
- Issue warranty notices and letters to contractors in a timely manner and in accordance with the terms of the relevant contracts
- Liaise with contractors on all aspects of the warranty process including engineering, procurement, vendors, mobilisation, site-works
- Resolution of open warranty issues and queries with internal and external stakeholders
- Analyse and prioritise warranty claims based upon value and likelihood of success
- Facilitate internal discussions with stakeholders on warranty claims including the repair/replacement strategy and scheduling of warranty work (e.g. consider using planned shutdowns to execute warranty work)
- Co-ordinate warranty specific site works with the maintenance and engineering teams
- Ensure contractors submit periodic warranty status reports
- Develop and maintain a detailed warranty status report, cost reports and forecasts in conjunction with planning and cost control departments
- Liaise with contractors and internal stakeholders during the repair/replacement decision making process to minimise downtime
- Educate internal stakeholders on warranty processes and ensure any entitlement to a warranty is preserved by gathering contemporary documentary evidence and photographs
- Review contractual entitlement to warranty and prepare claims to back-charge costs to the relevant contractor
- Develop a warranty lessons learned register
- Support the contracts & procurement in management of framework agreements with OEM vendors.
- Ensure back charges to contractors are followed up with finance and accounts payable departments.
- Manage disputes in conjunction with the legal team when required
- Share lessons learned from warranty claim management with internal stakeholders and the broader organisation
- Optimise the use of the Contract Management System and SAP for warranty administration
- Ensure confidentiality of contract documents is maintained
- Keep C&P Management informed of any potential significant issues
- Continually assess procedures & processes and assist in implementing improvements as required to support operational requirements
- Provide commercial and contractual support to the business, develop a deep understanding of warranty provisions within a portfolio of contacts
- Ensure rework on warranty is properly documented and back-charged to the relevant contractor. Ensure problematic equipment under a warranty is properly documented and reported to allow corrective actions to be taken in a timely manner
- Document any cost savings achieved through the warranty claims management and Contract management process
