TASKS AND RESPONSIBILITIES


    • Implement existing document control specifications & procedures for a significant volume of electronic and hard copy documents across multiple projects and functional groups, including document coding & numbering, version control, and distribution. Drive the continuous improvement of these specifications & procedures and development of new ones on a case by- case basis.

    • Transmit and track deliverables between Company and 3rd party vendors & contractors throughout projects’ lifecycles.

    • Manage metadata fields for documents to ensure accurate and up-to-date information in each master document register and system of record.

    • Coordinate deliverable reviews across project team members in accordance with procedures and distribution matrices.

    • Prepare status reports based upon the documents’ metadata designations and revision/transmittal histories.

    • Manage the transition of project and historical documentation to long-term retention in Company’s designated systems of record.

    • Coordinate with Project Managers, Functional Leads, and IT Administrators to develop and implement IT solutions to meet document control responsibilities. Note: Company’s designated IT platform and system of record for document management and retention is Microsoft SharePoint Online.



 

MUST HAVES


    • 3+ years of SharePoint experience- administration of the SharePoint site is key. Need to understand how to store documents, code in the information, great computer skills overall

    • 3+ years of Outlook, Excel, Word

    • 7+ years of document control experience

    • High School Diploma/GED

    • Proficiency in the field of document control and information management for both electronic and hard-copy documents, including: deliverables management (e.g. version control, document registers, project team reviews, & library management), transmittal & correspondence management, and document retention & archiving.

    • Ability to converse and convey ideas, facts and issues clearly, accurately, coherently and professionally to a diverse project team and 3rd party vendors & contractors.
