About the role:

The Team Assistant will support the Marketing leadership team based in Houston. The ideal candidate will be experienced in handling a wide range of administrative and executive support tasks and will be able to work independently with little supervision. This person must be exceedingly well organized, proactive and flexible and enjoy the administrative challenges of interacting with all levels of management as well as supporting a diverse team with global requirements. 

 

In this role you will:

  • Produce high quality documents and presentations
  • Assist in development of management presentations and speaker notes
  • Perform document management activities and travel calendars for the Houston marketing leadership team
  • Provide administrative/organizational support to select marketing projects
  • Assist with videoconferences, teleconferences and correspondence
  • Maintain Outlook calendars and training schedules
  • Organize functions, such as conferences, luncheons and meetings
  • Coordinate compilation of periodic reports
  • Assist the leadership team with email organization and prioritization
  • Arrange domestic and international travel and; if needed, visas
  • Maintain and order department office supplies
  • Adhere to HSEC Policy and Management Standards

About you:

  • Prefer fifteen (10) plus years administrative experience
  • Strong demonstrated proficiency in MS Office Suite, including Word, PowerPoint and Excel; ability to create PDF files from native format files
  • 1SAP experience preferred but not required
  • Strong oral and written communication and interpersonal skills
  • Comfortable handling confidential information with complete discretion
  • Ability to communicate with external stakeholders in government and industry
  • Ability to work well in a team environment
  • Ability to work under tight time constraints; ability to work overtime when required
  • Demonstrating initiative and creativeness
  • Ability to prioritize work with a minimum of supervision
  • Self-starter, able to plan and use time to maximum benefit
  • Sound decision-making ability and good organizational skills
